Cookie Policy

This policy explains what cookies the fleetOS platform uses, why we use them, and how you can control them. Effective September 10, 2025.

01

What Are Cookies

Cookies are small text files placed on your device by a website or web application when you visit. They are widely used to make websites work properly, remember your preferences, and provide information to the site operator about how users interact with the site.

Cookies can be classified in several ways:

Session vs. Persistent Cookies

Session cookies exist only for the duration of your browser session and are deleted when you close your browser. Persistent cookies remain on your device after the browser is closed, for a defined period of time or until you manually delete them.

First-Party vs. Third-Party Cookies

First-party cookies are set directly by the fleetOS platform — by Winixx Inc. Third-party cookies are set by domains other than fleetOS, typically by third-party services integrated into the platform such as analytics providers.

Similar Technologies

In addition to cookies, we may use similar technologies including local storage, which stores data in your browser without an expiry date and persists until cleared, and session storage, which stores data for the duration of a browser session. These technologies function similarly to cookies and are subject to the same controls described in this Policy.

Our Approach
We use cookies only where they serve a clear purpose for operating the platform or improving your experience. We do not use cookies for advertising, behavioral tracking across other websites, or building profiles for sale to third parties.
02

How We Use Cookies

The fleetOS platform uses cookies across three categories: essential, functional, and analytics. Each category serves a distinct purpose and has different consent and control implications. The three categories are described in detail in Sections 3, 4, and 5 below.

When you first visit the fleetOS platform, you will be presented with a cookie consent banner that allows you to accept or decline optional cookie categories. Essential cookies are always active and cannot be declined — the platform cannot function without them. Functional and analytics cookies require your consent before being set.

You may change your cookie preferences at any time by clicking the "Cookie Preferences" link in the footer of any page on the fleetOS platform. Your preferences are stored and respected across your sessions.

Cookie Categories at a Glance
Essential — Always on. Required for the platform to function. Cannot be disabled.
Functional — Optional. Remember your preferences and settings.
Analytics — Optional. Help us understand how you use the platform so we can improve it.
03

Essential Cookies

Essential Cookies
Required for core platform functionality
Always Active

Essential cookies are strictly necessary for the fleetOS platform to function. Without these cookies, services you have asked for — such as maintaining your login session, processing payments, and keeping your account secure — cannot be provided. Because they are necessary, essential cookies are set without requiring your consent and cannot be disabled through our cookie preference controls.

Essential cookies do not track you for marketing purposes, and we do not share the data they collect with third parties for any purpose other than operating the platform.

CookiePurposeTypeDuration
fleetos_session Maintains your authenticated login session across page loads. Without this cookie you would be signed out on every page navigation. First-party · Session Session
fleetos_csrf Cross-Site Request Forgery protection token. Verifies that form submissions and API requests originate from the legitimate fleetOS platform and not from a malicious third-party site. First-party · Session Session
fleetos_auth Stores an encrypted authentication token to keep you signed in between browser sessions when you select "Stay signed in" at login. First-party · Persistent 30 days
fleetos_tz Stores your detected timezone to ensure dispatch timestamps, billing dates, and scheduling features display correctly for your local time. First-party · Persistent 1 year
fleetos_consent Records your cookie consent preferences so the banner does not reappear on every visit. Stores which optional cookie categories you have accepted or declined. First-party · Persistent 1 year
fleetos_secure Security cookie used to detect and prevent session hijacking and account takeover attempts. Rotates on each authenticated request. First-party · Session Session
04

Functional Cookies

Functional Cookies
Enhance your experience by remembering your preferences
Optional

Functional cookies allow the fleetOS platform to remember choices you make and provide enhanced, more personalized features. These cookies collect information that is anonymized and cannot be used to track your browsing activity on other websites.

If you decline functional cookies, the platform will still work correctly but some personalization features will not be available — for example, the platform will not remember your preferred language, dashboard layout, or filter settings between sessions.

CookiePurposeTypeDuration
fleetos_prefs Stores your dashboard layout preferences — column order, panel sizes, and default view settings — so the platform looks the way you configured it on return visits. First-party · Persistent 6 months
fleetos_lang Remembers your preferred language setting if you have changed it from the default. Ensures the platform renders in your preferred language without requiring you to reset it each visit. First-party · Persistent 1 year
fleetos_region Stores your preferred geographic region for coverage map defaults, supplier search radius, and localized content display. First-party · Persistent 1 year
fleetos_filters Remembers active filter and sort settings in the fleet dashboard, job history, and parts search so they persist between sessions. First-party · Persistent 3 months
fleetos_tour Records which onboarding tooltips and feature tours you have already completed so they are not shown again on repeat visits. First-party · Persistent 1 year
05

Analytics Cookies

Analytics Cookies
Help us understand how the platform is used so we can improve it
Optional

Analytics cookies collect information about how visitors use the fleetOS platform — which pages are visited most frequently, where users encounter errors, how long they spend on different features, and what paths they take through the platform. This information is used exclusively to improve the platform's design, performance, and usability.

We use privacy-respecting analytics tools that do not build advertising profiles, do not track you across other websites, and do not sell your data to third parties. All analytics data is anonymized before processing — individual users cannot be identified from the data we collect.

If you decline analytics cookies the platform functions identically — you simply will not be included in our usage data. This has no effect on your account or access to any Services.

CookiePurposeTypeDuration
_fleetos_vid Assigns an anonymous visitor identifier to distinguish unique visitors from returning visitors in our internal analytics. The identifier cannot be linked to your account or personal information. First-party · Persistent 13 months
_fleetos_sid Tracks the current analytics session — the sequence of pages visited in a single browser session. Used to measure session duration and navigation paths. First-party · Session Session
_fleetos_ref Records the referral source for a session — how visitors arrived at the platform — to help us understand which channels drive traffic to fleetOS. First-party · Session Session
_fleetos_perf Collects anonymized performance metrics — page load times, API response times, and error rates — to help identify and resolve performance issues. First-party · Session Session
Privacy-First Analytics
Our analytics implementation is configured to anonymize IP addresses before storage, respect the Do Not Track browser header, exclude all personally identifiable information from collected data, and process all analytics data within servers governed by United States data protection law. We do not use Google Analytics or any analytics product that builds cross-site advertising profiles.
06

What We Don't Use

We want to be equally clear about the types of cookies and tracking technologies we do not use on the fleetOS platform:

  • Advertising cookies — we do not use cookies to serve targeted advertisements on fleetOS or across other websites. fleetOS products are ad-free.
  • Cross-site tracking cookies — we do not use tracking pixels, retargeting cookies, or any technology designed to follow you across other websites after you leave the fleetOS platform.
  • Social media tracking cookies — we do not embed social media "like" or "share" buttons that place tracking cookies from social platforms on your device without your knowledge.
  • Fingerprinting — we do not use browser fingerprinting or other techniques designed to identify your device without using cookies.
  • Third-party advertising networks — we do not allow third-party advertising networks to set cookies through the fleetOS platform.
No Advertising. Ever.
Winixx Inc. does not display advertising in its products and does not allow advertisers to use the fleetOS platform to target users. Our business model is subscription and service-based — we have no financial incentive to track you for advertising purposes and we do not do so.
07

Cookie Durations

The following summarizes the maximum duration of cookies used across the fleetOS platform by category:

CategoryShortest DurationLongest DurationNotes
Essential Session only 1 year Most essential cookies are session-based. The 1-year cookie stores your consent preferences only.
Functional 3 months 1 year Duration varies by preference type. Preference cookies are refreshed on each visit.
Analytics Session only 13 months The visitor identifier persists for 13 months to distinguish new vs. returning visitors in aggregate data.

You can delete cookies stored by the fleetOS platform at any time using your browser's cookie management tools. Deleting essential cookies will sign you out of your account and may reset platform settings. Deleting analytics or functional cookies will not affect your account or access to the Services.

08

Managing Your Cookies

Cookie Preference Center

You can review and update your cookie preferences at any time by clicking the "Cookie Preferences" link in the footer of any page on the fleetOS platform. The preference center allows you to accept or decline functional and analytics cookies independently. Your updated preferences take effect immediately and are stored for one year.

Consent Banner

On your first visit to the fleetOS platform, a cookie consent banner will appear at the bottom of the page. The banner allows you to:

  • Accept All — enables essential, functional, and analytics cookies
  • Essential Only — enables only essential cookies and declines all optional categories
  • Manage Preferences — opens the preference center to make category-level choices
Do Not Track

The fleetOS platform respects the Do Not Track (DNT) browser signal. When DNT is enabled in your browser, our analytics cookies are not set regardless of your cookie consent preferences. Essential cookies are not affected by the DNT signal as they are necessary for platform operation.

Withdrawing Consent

You may withdraw consent for optional cookie categories at any time by updating your preferences in the Cookie Preference Center. Withdrawing consent does not affect the lawfulness of any cookie use that occurred before withdrawal. Previously set optional cookies will be removed from your browser within twenty-four (24) hours of consent withdrawal.

Impact of Declining Optional Cookies
Declining functional cookies means the platform will not remember your preferences between sessions — you may need to re-configure your dashboard layout and settings each visit. Declining analytics cookies means your usage is not counted in our platform improvement data. In both cases, all platform features remain fully available.
09

Browser Controls

In addition to our Cookie Preference Center, you can manage cookies directly through your browser settings. Most modern browsers allow you to view, delete, and block cookies. Instructions for the most commonly used browsers are linked below.

Note on Browser-Level Cookie Blocking
Blocking all cookies at the browser level will prevent essential cookies from being set and will prevent you from signing in to the fleetOS platform. If you want to use the platform while limiting cookie use, we recommend using the Cookie Preference Center rather than blocking all cookies at the browser level.
10

Changes to This Policy

We may update this Cookie Policy from time to time as we change the cookies we use or update our platform. When we make material changes, we will notify you by updating the effective date at the top of this page and, where the changes are significant, by displaying a new consent banner so you can review the updated categories.

We encourage you to review this policy periodically. The most recent version of this policy is always available at fleetos.winixx.net/cookies.

This Cookie Policy is governed by the laws of the State of New York and should be read in conjunction with our Privacy Policy and Terms and Conditions.
